Small Orders, Serious Sensors: Why ifm Earned This Buyer's Trust

Vendors that treat a small order like an interruption are vendors to replace. That's the opinion I've landed on after five years of managing purchasing for a 55-person controls company. I'm not an engineer. I'm the office administrator who handles maintenance and instrumentation buying—roughly $140,000 a year across 11 vendors—and I report to both operations and finance.

I wasn't always this direct. When I first started in this role, I thought the safest decision was the one with the lowest line-item price. It took one rejected invoice, one emergency weekend shipment, and a lot of uncomfortable calls to learn that the cheapest quote can hide the most expensive consequences.

What I got wrong as a small buyer

When I took over purchasing in 2020, I was almost embarrassed by how small our maintenance orders were. We weren't buying truckload quantities. We were replacing single sensors, paying for calibration, and trying to keep production lines alive. I assumed vendors only cared when a PO was big enough to attract attention. That assumption cost us: the vendor who couldn't provide a clean invoice ended up costing us $2,400 in rejected expenses. Finance did not care that the part was cheap. They cared that the paperwork was wrong.

Since then, I have used small orders as a test. If a supplier treats a $250 order like a real request, I remember it. If they treat it like noise, I also remember it. That's what led me to ifm.

Why ifm made it into my vendor rotation

In 2024, our vendor consolidation project forced me to think about which manufacturers should get the company's repair and spares budget. One of the maintenance engineers asked for a photoelectric sensor for a packaging line. I did my usual research and read a lot of ifm photoelectric sensors reviews. The reviews were not full of wild claims. They kept repeating the same words: consistent output, durable housing, clear documentation. For me, that last one matters a lot because I'm the person who files the paperwork.

The first order was small—two ifm photoelectric sensors and a bracket. The total was a few hundred dollars. No one made me feel like the order was too small. The product came with a tag I could read, the invoice matched the packing slip, and the engineer installed it without a return call. That might sound like the lowest bar possible, but in my experience, it is not the bar most suppliers clear.

What the ifm photoelectric sensors reviews don't tell you is what it's like to buy one at a time. Most reviews describe performance in the application. That's useful, but it doesn't help an administrator who needs to know whether the delivery will be delayed or the part number will be wrong. In my small sample, the boring parts were the impressive parts.

Then came a filter monitoring request. Our technician needed a way to see if a filter was clogging, and after the first ifm order went smoothly, he requested an ifm differential pressure transmitter. The process was just as easy: I found the part, confirmed the pressure range with the engineer—I don't choose that part from memory—and placed the order. ifm's public product pages had enough detail for the engineer to verify the connection and electrical output before we spent the money.

I checked the current product pages again in early April 2025. They include the usual ratings for IP class and ambient temperature, which is exactly what I need before sending a PO. I am not going to quote specific numbers from memory because I don't trust memory for specs. I trust the current datasheet.

Small doesn't mean unimportant

The reason I stay on this soapbox is simple: small customers are not practice customers. A one-off differential pressure transmitter or a single photoelectric sensor might be the trial run before a plant standardizes on that manufacturer. If a vendor ignores me when I need one part, they lose the chance to be on the list when we need twenty parts. I've said it before and I'll keep saying it: today's small order is tomorrow's routine PO.

That's also why I dislike the phrase 'not worth the minimum order.' It treats discovery, testing, and maintenance as if they don't count. They do count, especially in B2B. The vendors who answered my early, clumsy questions are the ones I still call today.

Practical tools that give a non-engineer more confidence

I cannot inspect a sensor with my eyes, but I can use simple tools to make better calls. On our small maintenance bench, we keep a mini multimeter for basic checks. Before I call technical support, I can confirm that the sensor is getting power. That step has saved us from being embarrassed by a 'no power' setup.

When a sensor fails physically, a digital microscope helps us look at the face or lens before we argue with anyone. Sometimes the problem is obvious, like a crack from mechanical damage or contamination on the lens. A digital microscope doesn't replace an engineer's judgment, but it gives us a closer look without turning every failed part into a debate.

Thermal cameras can help too. The short version of how to use FLIR One thermal camera: attach the camera to the phone, open the FLIR app, let it calibrate, aim at the target, and capture. If you're looking at shiny metal, be careful—reflections can fool you. We used one to check a heat trace running near an impulse line, and it explained a pressure reading problem instantly.

What about the price?

Here is the objection I expect: ifm components are not always the cheapest option. I don't have hard data comparing every sensor family, and I wish I had tracked every failure and every rebuy more carefully over the last five years. What I can say anecdotally is that my cost per headache has been lower. Not every ifm product I bought was the right fit, and I'm not saying they are perfect in every environment—no sensor is. But the majority of my small ifm orders showed up correctly documented and worked the first time.

If you're buying in high volume and have engineers who can evaluate every alternative, my approach might feel unnecessary. My experience is based on about 60–80 purchasing events a year, most of them small POs. If you live in a different world of procurement, your mileage may vary.

But in my world, processes are everything. The product has to work, the invoice has to match, and the delivery date has to mean something. ifm has done those things consistently enough for me to stop shopping.

Bottom line: if you are a small customer, don't apologize for your purchase order. Good vendors earn larger orders by making it easy to start small. ifm made the first order easy, the second order easier, and the maintenance team hasn't asked me to look for another sensor supplier since.
